Social Committee Meeting Minutes, January 2018

FAIRFAX HILLS SOCIAL COMMITTEE:

2018 Planning

1/7/18

January 7, 2018 2:00 PM – 4:00 PM

Attending: Lauren Elmore, Abril Torres, James Alackness, Evie, Ali Vance, Earl Raupach, Jessi Voci, Janet Morley, Sara Johnson, Christine Nishiguchi, Wendy Roberts

History / Considerations for Planning

  • Google paid for 2 events last year
  • We had Coopers BBQ cater for one of the Google events and it drew in a LOT of people
  • We do have a budget, but we want to be aggressive with our plans

Ideas:

  • Spring Music Event – Possibly charge money – April or May (April may be too cold)

Coordinators: Lauren, Jessie, Abril, Ali, Christine

  • Source an individual who could play a large range of music who would appeal to a group
    1. Deja Brew – group of musicians and does jams,
    2. Music schools – source performers who just want to perform?
  • Lauren – talk to Arch who plays downtown
  1. Christine – talk to her friend who is in a band
  2. Janet – email regional libraries
  3. Band together – events downtown, open mic, fundraisers – Sara teaches their daughter so will ask
  • Abril – friends who play guitar and drums, go to school

NEXT STEPS: Those listed above speak to their musicians and email Christine; availability of musicians will determine date of the event, if we have one or more at an event or possibly do multiple music nights and if we charge (depends on musician and cost)

  • Christmas light decorating; hayride to see the lights; vote for the best decorated house; only cost maybe a sign for the winner and an inflatable as prize or a mailbox decorating competition; mailbox decorating could also be any holiday as competition; decorate the entrance signs and the park for our neighborhood too
  • Food trucks – idea: once a month a few food trucks come in, brings a lot of people together (Ali) – maybe combine with music; Burger 21?; Abril – knows a food truck owner to ask

NEXT STEPS: Source food trucks who are interested, combine with an appropriate event such as music night

  • Easter egg hunt – 3/31; Coordinators: Wendy, Sara, Abril, Christine and Ali (Sara has all Easter supplies, Janet to give her more)

NEXT STEPS: Sara to advise what time it will be; Christine to let neighborhood know; Set an egg-filling party – need to know event details (mostly date and when to turn in candy) by 2/5 for newsletter

  • Garage sale in May – Ali to organize, Christine to help
    • Use Nextdoor to solicit for interest and to advertise
    • Advertise on other sites
    • Post signs
    • Provide a list of addresses at each sale to be distributed to attendees
    • Possible social at the park later?
    • Coordinate a pick up vehicle to pick up everyone’s left-overs
  • Science Day – Earth Day April 22; Christine to coordinate with Brian, Olivia, Lauren and possibly bee farmers and others in the neighborhood
    • Sara – come up with a craft to be left at the park
  • Plant exchange – designate a certain day each month for those who are interested to meet at the park and exchange plants
    • Betty Kennedy advise on best date range – Lauren to call and ask her
    • Christine to coordinate via email, etc. It will be posted in the March newsletter as well
    • Ideally gather a group of people who are interested with their email addresses/phone numbers to coordinate throughout the year and send reminders
  • Garden Surplus Box – the Nishiguchis will be building a garden sharing box and placing in their front yard. The idea is for neighbors to share garden surplus with each other. This will be a test, but if there is a wide interest, it could expand into a farmers market and such at the park for next year.
  • Parade – June 23rd; Coordinators: Christine and Evie
  • Camping night – Christine to coordinate; will need a portable potty; possibly combine with a movie night; June will be the ideal month (average low of 63, not too many bugs yet)
  • Movie night – Coordinators: Christine, Lauren and Wendy can help
    • Do 3 or 4 this year; there is no cost, just mostly work and coordination. Dates and times depend on weather and sunset.
    • One night, have adult movies and state what the movie is and its rating
    • Vinny/Jessi – can we still borrow your projector? James may have one as well.
    • Carltons – can we still borrow the screen? Wendy to check or Jessi?
    • Consider selling beer and wine for a profit – or sell the glass and not beer and wine (Fairfax glasses made) due to liquor license issues; or buy the glass for the year and do a new one for each year – James – investigate options and costs? Can we know before 2/3 for our board meeting?
  • Pet day – Christine to solicit interest and coordinate; need some helpers
    • Host a day at the park to show off your pets, or to see neighbors’ pets.
    • Possibly work with veterinarians and pet supply places to provide services like dog wash, nail clippings, microchipping, information, pet adoption, etc.
    • Christine to work with neighborhood veterinarians; their availability will set the date.
    • Christine to also work with mobile dog wash neighbor. There may need to be a charge to cover the park’s water usage. Neighbor may also charge a fee.
    • Christine to also ask Pet Supermarket if they’d be interesting in sponsoring/attending.
  • Wine tasting or craft beer night – Coordinators: Christine, Jessi, Wendy
    • Charge money – sell a glass
    • Get a store to come in and do it? (New one in the Home Goods Area?) Wendy to ask them.
    • OR have neighbors bring wine and beer to share and do a tasting event
    • Date depends on details, but possibly plan for November or partner with live music nights)

new one at Home Goods area – Wendy – could you solicit them?

  • Tail gating – Coopers – Christine – need helpers – may not happen, depends on funds or if we can find a partner who will sponsor

Other ideas:

  • Cooking classes at a neighbor’s house
  • Progressive potluck by zone
  • Evie – host cooking classes, book club, teach knitting and basic sewing, embroidery – can charge for classes and put back towards park or for materials
  • Edith – continue with bridge lessons?
  • Craft events at the park
  • Ali – organize a once a week or month thing at the park or play date
  • Sara – willing to do a track-out kind of thing on snow days
  • Neighborhood scavenger hunt – Sara for adults
  • Field day – sponsored by O2, obstacle courses, Ninja warrior or Energy Kidz
  • Caroling – more services for seniors
  • Seniors – a day a quarter per zone where we help seniors do things they need; submit a list they need done ZAs help do – pick one per quarter (could also be single moms) – discuss at ZA meetings
  • Secret senior pals – list of needs (ZAs!) – Earl bring it up at senior breakfasts – how can we be of better assistance? Build a team – Evie be contact person for that and build a team with people to help; when we knock on doors – how can we support you better? Earl – send email to ZAs to give list of questions to ask
  • For each event, ZAs always plan to pack up food for seniors who can’t come
